Location: Remote, U.S.-based, Central or Mountain time candidates preferred
Reports to: Founder & CEO / Managing Director
Start: ASAP
Employment Type: Part-time (20-25 hours/week) or Full-time
Compensation: Competitive and commensurate with experience
About The Role
We're looking for an exceptional Executive Assistant who wants to be more than a coordinator, someone who sees the inbox as intelligence, the calendar as strategy, and every interaction as an opportunity to elevate two mission-driven organizations. You'll be the right hand to a founder leading two companies: Strut Consulting, a boutique VC consulting firm delivering high-impact services to venture capital clients, and VIA, a thriving non-profit community for VC operators.
This is not a traditional admin role. You'll manage two busy inboxes and calendars, but more importantly, you'll use them as tools to anticipate needs, surface insights, and help the founder stay focused on what matters most. In this role, you'll help increase leverage and operate at a higher strategic altitude. This is a high-trust, high-impact role for someone who thrives in dynamic environments, loves details, and wants to grow into a Chief of Staff over time.
What You’ll Own
Inbox Management (Primarily Strut)
You won't just triage emails, you'll run the "hawk's nest." You'll read between the lines, spot opportunities and risks in real-time, prioritize ruthlessly, and help craft responses that are sharp, strategic, and on-brand. You'll know what needs the founder's attention and what you can handle independently.Triage, prioritize, and respond to emails on the founder’s behalf (with clear guidelines) or know which ones to flag that need my personal touch (and start a draft to work with).
Flag urgent issues, emerging risks, and high-leverage opportunities in real time
Draft thoughtful, on-brand responses and ensure timely follow-through
Translate inbox activity into clear to-dos and priorities
Continuously improve systems, filters, and workflows to reduce noise
Calendar Oversight (Both Organizations)
You'll be the air traffic controller for a founder who travels weekly and juggles competing priorities across two companies. You'll protect time, optimize scheduling, anticipate conflicts, and ensure every meeting has a purpose. Own scheduling and calendar hygiene across Strut and VIA
Coordinate complex meetings with senior leaders, clients, board members, and partners
Manage travel logistics over time (currently self-managed, but open to transition)
Optimize around frequent travel (typically ~1x/week)
Protect deep work time while enabling high-value relationship-building
You may eventually take over travel booking, too
Expense Management (Both Organizations)
You'll reconcile credit card expenses across both organizations with speed and accuracy. You know the calendar, so you know the context, making this seamless.
Reconcile credit card expenses using Ramp and QuickBooks
Ensure expenses are categorized correctly across both entities
Flag discrepancies and follow up proactively
Chase down receipts when required
Where You’ll Grow (Future Opportunities)
As you prove yourself, this role expands:
Business Development Support: Turn around proposals quickly, manage the sales process end-to-end, and become an extension of the BD engine at Strut
Marketing Execution: Help drive marketing deliverables for Strut alongside our marketing contractor
CRM Management: Own and optimize our CRM at Strut, ensuring every data point is detailed, current, and actionable for BD and marketing efforts
Chief of Staff Track: Long-term, this role has the potential to evolve into a Chief of Staff position, taking on strategic project management and driving key business initiatives across both organizations

Cross-functional initiatives
Company growth and operational priorities across both organizations

Qualifications & Attributes

You have venture capital experience. You've spent at least one year in the VC ecosystem, whether at a fund, working with portfolio companies, or supporting VC operations. You speak the language, understand the pace, and can hit the ground running without a decoder ring.
You have the EA fundamentals. You've managed inboxes, calendars, and the organized chaos of a busy leader. You know what "urgent" really means, and you've developed systems that actually work.
You think like an operator. You don't wait to be told what to do. You see three steps ahead. You connect dots, surface insights, and solve problems before they become fires. You're resourceful, proactive, and endlessly curious about how things could work better.
